Your responsibilities
- Be the first point of contact for all stakeholders (lecturers, students, visitors, applicants, etc.) on the phone, per email and in person in English and German
- Manage incoming and outgoing mailings; receive and redirect calls
- Maintain the inventory of supplies and handle cash
- Manage the key system and screens
- Assist with travel organization and planning
- Assist the recruitment team with administrative tasks related to upcoming online and offline events, such as sending invitations, following up with registrations, and editing presentations to ensure they are informative and engaging
- Assist accepted students with returning their signed admissions documents through communication via email, telephone and WhatsApp
- Support the UB office with assigned tasks and projects, including organizational and administrative tasks
- Assist in the organization of university events
Your profile
- Ideally a minimum of two years full-time relevant work experience
- Proactive, agile and engaged attitude with a business & results-driven mindset
- Strong communication and interpersonal skills, able to work with international teams and stakeholders
- Excellent verbal and written communication skills in English (at C-level); German (at B-level) is required
- Secure user of MS 365 products
- Valid work permit in Austria
