Registration Assistant (Science Academic Hub)! Are you a dedicated and organized individual with a passion for helping students succeed? If so, we have an exciting opportunity for you to make a meaningful impact within our faculty.
What You’ll Do:
- Student Support: Providing in-person and email assistance to students regarding registration procedures, online registration, permit overrides, and more. You will also direct students to appropriate advisors and schedule appointments for Science academic advisors and the Associate Dean (Academic).
- Document Management: Maintaining organized electronic and paper files for Science students.
- Policy Expertise: Developing an in-depth understanding of Science policies and procedures to provide accurate information to students, faculty, and staff.
- Data Reporting: Preparing statistical reports related to student and registration information.
- Academic Coordination: Assisting in organizing key academic processes such as convocation and the Dean’s Honours’ List.
- First Point of Contact: Be the face of our office by providing reception services and providing face-to-face assistance to students and staffing the Science Academic Hub front desk.
- Office Management Professional: You’ll be responsible for sorting and distributing mail efficiently.
- Website Maintenance: Collaborating with the Science team to ensure the website is up-to-date and engaging.
- Teamwork: Working with colleagues on committees and teams to enhance procedures and achieve both short and long-term office goals.
- Event Coordination: Participating in the organization of events, activities, and programs.
- Continuous Improvement: Contributing to student recruitment and retention initiatives as required.

Position Requirements
What You’ll Bring to the Position:
- Grade 12 supplemented by the successful completion of a recognized business course
- Three years of experience directly related to university student issues.
- A suitable combination of education and experience may be considered.
Skills That Will Ensure Your Success in this Role: - Demonstrated knowledge and skill in the use of Microsoft software including Word and Excel
- Demonstrated knowledge and skill in the use of e-mail systems such as GroupWise including maintaining calendars and scheduling appointments
- Demonstrated knowledge and skill in office practices
- Demonstrated receptionist and customer service skills
- Knowledge of the university community and academic programs
- Knowledge of university admission policies and procedures would be an asset
- Ability to work independently and as part of a team, including strong communication skills
- Ability to deliver excellent student service dealing courteously and effectively with international and domestic students
- Ability to make effective administrative/procedural decisions and recommendations
- Ability to maintain confidentiality of records and information
- Ability to create, compose, and edit written materials
- Demonstrated ability to organize multiple assignments, while maintaining accuracy and attention to detail
- Experience with international students is an asset
Monday – Friday 8:00 a.m. – 4:30 p.m. as scheduled/needed.
